Corpsoft Solutions LLC (“Corpsoft Solutions”, “we”, “us”, “our”) is a company organized under the laws of the State of Delaware, United States, with its registered address at Silverside Rd #35b, Wilmington, DE 19810. Delaware Division of Corporations file number: 6630642.
We build web and custom software for regulated industries, with compliance engineered into the architecture from day one. This Privacy Policy explains what personal data we collect through https://corpsoft.io/ (the “Website”), why we collect it, how we use and protect it, and the rights you have.
We are the controller of the personal data described here, which means we decide how and why it is processed.
By using the Website, you confirm that you have read this Privacy Policy and understand how we handle your personal data.

Personal data we collect
We collect only the data we need.
Data you provide through our forms. When you submit a contact form or subscribe to our newsletter, we collect your name, email address, your company’s name and country. We also keep a record of the messages you send us.
Data we collect automatically. When you visit the Website, we collect technical and usage data through cookies and similar technologies: IP address, device and browser type, operating system, referring URL, pages viewed, time spent, and on-site interactions. See our Cookie Policy for details.
We do not collect special categories of data (such as data on health, race, ethnicity, religious beliefs, political opinions, or sexual orientation), and we ask that you do not send such data to us through the Website.
Meeting booking data. When you schedule a meeting through Calendly, we may collect the information you provide through the booking form, such as your name, email address, company, job title, time zone, meeting preferences, and any message or other information you choose to provide.
Marketing subscription data. When you subscribe to our newsletters or other marketing communications, we collect your email address, name, subscription preferences, consent records, and information about your interaction with our communications.
Security and anti-spam data. We use Google reCAPTCHA to protect our Website and contact forms against spam, fraud, and automated abuse. Google reCAPTCHA may process technical and interaction data, including your IP address, browser and device information, and information about your interaction with the Website.

How we use your personal data
We use your personal data to:
- respond to your inquiries and requests;
- contact you about our services and, where you have subscribed, send you newsletters and updates;
- operate, secure, maintain, and improve the Website;
- analyze how the Website is used so we can make it better;
- meet our legal and regulatory obligations;
schedule and manage meetings requested through Calendly; - manage our customer and prospective customer relationships through our CRM;
- send and manage marketing communications through Mailchimp, where you have provided consent;
- protect the Website and its forms from spam, fraud, and automated abuse;
- maintain business communications and documents through Google Workspace.
Lead and contact data is stored in our secure CRM.

Withdrawing consent does not affect processing carried out before the withdrawal.

How we share your personal data
We do not sell your personal data.
We may share personal data with trusted service providers that help us operate the Website and conduct our business, including:
- our CRM provider, which we use to manage inquiries and business relationships;
- Google Workspace, which we use for email, document management, and business communications;
- Google Analytics and Google Tag Manager, which we use for Website analytics and tag management;
- Hotjar, which we use to understand how visitors interact with the Website;
- Google reCAPTCHA, which we use to protect the Website and its forms from spam and abuse;
- Calendly, which we use to schedule meetings;
- Mailchimp, which we use to manage newsletters and marketing communications;
- hosting, IT security, technical support, and other service providers necessary for the operation of our Website and business;
- professional advisers, auditors, insurers, and legal counsel;
- governmental authorities or other parties where disclosure is required by law or is necessary to establish, exercise, or defend legal claims.
These recipients may process personal data only for the purposes for which it has been provided and subject to appropriate contractual, confidentiality, and data protection obligations.

International data transfers
Corpsoft Solutions is based in the United States, and some of our service providers may process personal data in the United States or other countries outside the country in which you reside.
Where personal data originating from the European Economic Area or the United Kingdom is transferred to a country that has not been recognised as providing an adequate level of data protection, we use an appropriate lawful transfer mechanism, where required. Such mechanisms may include the Standard Contractual Clauses approved by the European Commission, the UK International Data Transfer Addendum or International Data Transfer Agreement, and supplementary technical, organisational, or contractual safeguards.

Data retention
We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including to meet legal, accounting, reporting, security, and dispute-resolution requirements.
Unless a longer period is required or permitted by applicable law, we generally apply the following retention periods:
- Contact form inquiries, Calendly bookings, and related correspondence: up to twenty-four (24) months after our last meaningful interaction with you, unless the inquiry results in a contractual or ongoing business relationship.
- CRM lead and prospective customer data: up to twenty-four (24) months after our last meaningful interaction with the relevant contact.
- Newsletter and marketing subscription data: until you unsubscribe or withdraw your consent. We may retain a minimal suppression record for as long as necessary to ensure that we respect your opt-out request.
- Business correspondence stored through Google Workspace: up to three (3) years after the last relevant communication, unless the correspondence relates to an ongoing contract, legal obligation, or dispute.
- Analytics, Hotjar, and similar Website usage data: for the periods specified in our Cookie Policy and configured in the relevant service, generally not exceeding fourteen (14) months.
- Security, fraud-prevention, and reCAPTCHA-related records: for as long as reasonably necessary to protect the Website and investigate suspected abuse, generally not exceeding twelve (12) months, unless the data is required in connection with a security incident or legal claim.
- Contractual, accounting, tax, and legal records: for the period required by applicable law and until the expiry of any relevant limitation period.
When the applicable retention period expires, we securely delete or anonymise the personal data. We may retain data for a longer period where necessary to establish, exercise, or defend legal claims, comply with a legal obligation, investigate fraud or security incidents, or protect the rights and safety of Corpsoft Solutions and others.

We use appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, loss, or destruction. No method of transmission or storage is fully secure, so we cannot guarantee absolute security.

Privacy rights of EEA and UK individuals
If you are located in the European Economic Area or the United Kingdom, you may have the following rights, subject to the conditions and limitations established by applicable data protection law:
- the right to obtain confirmation as to whether we process your personal data and to receive a copy of that data;
- the right to request correction of inaccurate or incomplete personal data;
- the right to request deletion of your personal data;
- the right to request restriction of processing;
- the right to receive personal data you have provided to us in a structured, commonly used, and machine-readable format and, where technically feasible, to have it transmitted to another controller;
- the right to object to processing based on our legitimate interests;
- the right to withdraw your consent at any time, without affecting the lawfulness of processing carried out before its withdrawal;
- where applicable, the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects.
You have the right to object at any time to the processing of your personal data for direct marketing purposes. If you object, we will stop using your personal data for such purposes.
You may exercise your rights by contacting us at info@corpsoft.io. We may request information reasonably necessary to verify your identity and process your request.
Where the GDPR or UK GDPR applies, we will normally respond within one month after receiving your request. This period may be extended where permitted by law, taking into account the complexity and number of requests.
You also have the right to lodge a complaint with the data protection authority in the EEA country where you live or work, or where you believe an infringement occurred. Individuals in the United Kingdom may lodge a complaint with the UK Information Commissioner’s Office.

Children’s privacy
The Website is not intended for children, and we do not knowingly collect personal data from anyone under 16. If you believe a child has given us personal data, contact us at info@corpsoft.io and we will delete it.

We do not sell personal information. Where the use of cookies or similar technologies constitutes “sharing” under California law, you may exercise your opt-out rights through the cookie preference tool available on the Website.
